Position Summary

Reporting to the Program Manager, Maintenance & Construction, the Project Administrator (Construction) is responsible for providing administrative and project coordination support for multiple construction projects. This position manages project documentation, schedules, reporting, financial tracking, and communication to help ensure projects are completed safely, efficiently, on time, and within budget.

The successful candidate is highly organized, proficient with Microsoft Excel, and able to manage multiple priorities while supporting project managers, field staff, subcontractors, and clients.

Key Responsibilities

Project Coordination & Administration

  • Create, track, and manage Requests for Information (RFIs) and distribute them to appropriate stakeholders.
  • Maintain organized project files and documentation using SharePoint and other document management systems.
  • Organize and maintain project photographs for reporting and recordkeeping.
  • Track Daily Field Reports (DFRs) and prepare weekly progress summaries.
  • Prepare and distribute weekly client updates, including progress reports and supporting documentation.
  • Provide administrative support to ensure project milestones, deliverables, and timelines are achieved.

Scheduling, Reporting & Financial Tracking

  • Update and maintain multiple project schedules.
  • Track labour, materials, shipping costs, and other project expenditures.
  • Assist with purchase orders, accounts payable documentation, and cost tracking.
  • Support the preparation and submission of Change Notices (CCNs).
  • Coordinate material requests, quotations, and procurement activities.

Technical & Documentation Support

  • Develop and maintain Microsoft Excel spreadsheets and project tracking templates.
  • Assist with project scheduling using Microsoft Project (training provided if required).
  • Read and interpret construction drawings and specifications (training provided if required).
  • Track shop drawings and coordinate reviews and distribution.
  • Assist in preparing as-built drawings and Operations & Maintenance (O&M) manuals.

Meetings & Communication

  • Prepare meeting agendas and supporting documentation.
  • Record and distribute meeting minutes.
  • Track action items and follow up with project team members.
  • Coordinate communication between project teams, clients, subcontractors, suppliers, and internal departments.

Additional Project Support

  • Assist Project Managers and Estimators with project preparation and quantity takeoffs (training provided if required).
  • Support subcontract preparation and project documentation.
  • Travel to project sites as required to capture progress photos and provide project support.
  • Perform other duties as assigned.

Qualifications

The ideal candidate will possess:

  • Grade 12 diploma. Post-secondary education in Business Administration, Office Administration, Construction Management, or a related field is considered an asset.
  • Minimum of two years of experience in project administration, preferably within the construction industry.
  • Intermediate proficiency with Microsoft Excel.
  • Experience coordinating multiple projects and competing priorities.
  • Experience using Microsoft Project is considered an asset.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Valid Class 5 Driver's Licence.

Working Conditions

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Frequent keyboarding and document preparation.
  • Occasional lifting of files, plans, and office materials.
  • Occasional travel to project sites.

Work Environment

  • Office-based position located in Yellowknife.
  • Regular interaction with project teams, subcontractors, clients, and suppliers.
  • Occasional travel to project sites throughout the Northwest Territories and Tłı̨chǫ communities.
  • Fast-paced environment supporting multiple active construction projects.
